In one minute: what DeadlineDesk does
Most companies track this in a spreadsheet, or in one person’s memory. Both work until the day they do not.
What it is
A single list of everything your company owns that has an expiry date — licences, certificates, insurance, vehicle papers, contracts and leases.
What it does
It watches the dates for you and emails the person responsible 90, 60, 30, 14, 7 and 1 days before expiry — then tells their manager if nothing happens.
What you get
No disqualified tenders, no fines for lapsed papers, no vehicle stopped at a checkpoint — and an answer in seconds when a client asks whether your documents are current.
Built first for contractors bidding on public tenders, where one expired enlistment certificate disqualifies a bid before anyone reads the price. It works the same way for any business with paperwork that expires.
The problem
Nothing expires on a convenient day.
Deadlines rarely fail because a business does not care. They fail because the information lives in one person's head, one person's inbox, or one spreadsheet nobody opens.
A tender you cannot bid for
An expired enlistment certificate or trade licence disqualifies a submission before anyone looks at your price.
A vehicle that cannot leave the yard
Fitness certificates and tax tokens lapse quietly. You find out when a driver is stopped, not when it is convenient.
Rushed renewals cost more
Late renewals mean fines, expediting fees and a day of someone's time spent standing in a queue.
The spreadsheet nobody owns
Most companies already track this in Excel. It works until the person who maintained it is on leave.
How it works
Four steps, then it looks after itself.
- 1
Add what expires
Type it in, pick from a starter template, or import the spreadsheet you already have. Each item gets an expiry date and a category.
- 2
Name who is responsible
Every obligation has one person accountable, and optionally a backup. No more shared inbox guesswork.
- 3
Let the reminders run
90, 60, 30, 14, 7 and 1 days before expiry — and on the day. Escalates to managers and admins as it gets close.
- 4
Record the renewal
Enter the new dates and upload the new document. The old cycle is kept as history, and the next cycle is created for you.
Built with contractors in mind
If you bid for institutional work, your paperwork is the entry ticket.
DeadlineDesk was shaped around small and medium construction, engineering, electrical and MEP businesses — the companies for whom one lapsed certificate means one missed tender.

Templates are organizational aids and do not constitute legal, tax or regulatory advice. Not every business needs every document listed.
Features
Everything you need, nothing you do not.
One dashboard that answers one question
What needs attention today? Overdue, urgent, upcoming and safe — grouped, counted and sorted by how soon it bites.
Reminders that escalate
Start with the person responsible. Add their manager at seven days. Add an admin at one day. Configurable per organization.
Documents attached where they belong
PDFs and photos attached to the obligation they prove, with version history kept across renewals.
Import from the spreadsheet you already use
Upload a CSV or Excel export. DeadlineDesk maps common column names, previews every row and shows errors before anything is saved.
Recurring renewals
Annual, biennial or monthly. Record a renewal and the next cycle is created automatically, with the previous cycle kept as history.
Full audit history
Who changed a deadline, who reassigned it, who uploaded a document, and when. Append-only, so it cannot be quietly edited.
Reminder workflow
A reminder ladder, not a single email that gets missed.
One email is easy to ignore. A schedule that widens as the deadline approaches is not.

Every organization sets its own offsets, send hour and timezone. Reminders are sent once per person per deadline per cycle — never duplicated, even if the system restarts.
Team responsibility
Every deadline has a name against it.
Shared responsibility is no responsibility. DeadlineDesk makes one person accountable for each obligation, with a backup and an escalation path.

Document security
Your company documents are not our product.
You are uploading trade licences, bank solvency certificates and contracts. That deserves more care than a shared drive.
- Uploaded documents are stored in a private bucket and are never publicly readable.
- Downloads use short-lived signed links that expire in minutes.
- Each organization's data is isolated by database row level security, not only by application code.
- File type and contents are both checked on upload; executables are rejected.
- Audit entries are append-only and cannot be edited afterwards.
- You can export everything, and delete your organization, at any time.

FAQ
Questions people actually ask.
- What kinds of documents can DeadlineDesk track?
- Anything with a date on it: trade licences, tax and VAT documents, enlistment certificates, insurance, vehicle fitness and tax tokens, equipment certifications, employee licences, supplier agreements, office leases and software renewals. The categories are configurable, so you are not limited to a fixed list.
- How are reminders sent, and to whom?
- By email, on a schedule you control. The default is 90, 60, 30, 14, 7 and 1 days before expiry plus the expiry day itself. Reminders go to the person responsible for that document, and escalate to managers and admins as the deadline gets closer.
- Do we have to move everything over at once?
- No. Most companies start with the ten documents that would hurt most if they lapsed. You can import the rest from an Excel or CSV file later, and there is a downloadable sample file to match.
- Who can see our uploaded documents?
- Only people you invite to your workspace. Files are stored in a private bucket and are never publicly readable. Downloads use short-lived signed links, and every organization's data is isolated at the database level, not just in the application.
- What happens to our data if we stop paying?
- Nothing is deleted. Your workspace becomes read-only: you can still see and export everything you added, but you cannot add or change deadlines and reminder emails pause until you choose a plan again.
- How do we pay?
- Plans are priced in US dollars. Card payment through Lemon Squeezy, which handles tax and receipts as merchant of record, is being set up; until it is live you can pay by international bank transfer, and we activate your plan as soon as the money arrives.
Never lose a tender because a document expired unnoticed.
Set up your first ten deadlines in under ten minutes. Free to start, and your data is yours to export at any time.
